How To Organize Yourself Using Microsoft Outlook

Being organized in Microsoft Outlook can free up time.Discipline is required but mostly organization of the program and what you do with the tools.

Step 1: New email notification needs to be turned off first.

Pull down the file menu, then select options.The options window will open.The "E-mail Options" button is on the Preferences Tab.Click on the "Advanced E-mail Options" button to open the options window.The "When new items arrive in my inbox" section is located in the options window.

Step 2: The calendar is the default view in Outlook.

It will show you when work will start and when it will end.Pull down the File menu, select Tools, and then select Options to set the calendar as your default view.Click the "Advanced Options" button if you want to change your mind.Click on browse if you want to look in the "General settings" section.The folder will open.Click OK three times when you select "Calendar" in the "select folder" window.

Step 3: Pull down the File menu and select View to include your tasks in the default window.

Step 4: Pull down the file menu and select View, then select the task you want to view.

Step 5: To view your emails, schedule a specific time each day.

Don't look at your emails at any other time, if you set 2 to 3 times a day to work with them.Emails keep you from getting real work done.

Step 6: Clear your inbox when you read emails.

There shouldn't be anything left at the end of the email session.You have to decide what to do with the emails.You have four choices.

Step 7: Remove the email if you have dealt with it.

Step 8: To create a task, drag the email onto the task button in Outlook.

A task will be created if you select a start date and time and a due date.

Step 9: To forward an email to another person, create a task and assign it to someone else.

Step 10: Do whatever is required by the email.

If you do it, you can either move it to a personal folder or remove it from your inbox.

Step 11: To block off time in your calendar, drag and drop an email onto the calendar button in Outlook.

The meeting notice will open.Save the time and date that you want to block off.The meeting notice will have a copy of the email.The email can be deleted from the inbox or moved to a personal folder.
