How To Write a Receipt

Customer payments and a record of sale can be found in receipts.If you want to give a customer a receipt, you can either hand write it on a piece of paper or use a template.It is important that you know how to write a receipt in order to protect yourself and your business.

Step 1: You can buy a receipt book.

You can purchase a carbonless receipt book online or at an office supply store that has several sheets of carbon paper.The booklets have the receipt headings in place.If you want to keep a copy of your records, you need to get booklets with 2 part forms.If you don't have a booklet, you can simply hand write the receipts on a piece of paper.Before writing a receipt, make sure the carbon paper is between the original and the copy.To make sure the information transfers to the copy, use a pen when writing receipts.

Step 2: On the top right, write the receipt number and date.

The full date that you made the sale and a chronologically ordered receipt number should be written down.Each receipt should have a number so that you can keep track of sales throughout the day.Go up one number for every receipt if you want the receipt number.You don't need to write it every time you make a sale because you can do this ahead of time.If you write the date on every receipt you can reset the receipt numbers every day.Each receipt has a different receipt number in most receipt booklets.

Step 3: In the top left, write your company name and contact information.

Under the company name, write your phone number and address.The website, social media accounts, and/or operating hours can be included.If the customer needs to contact you, this information will help them.If you don't have a company, write your full name.

Step 4: Write down the cost and the items purchased.

The cost of each item should be written on the right side of the receipt.List the items and their prices in a row if you sold more than one item.An itemized list on a receipt should look something like this.

Step 5: Below all of the items, write the subtotal.

The cost before taxes and additional fees is the subtotal.Write the total number under the prices of the items you sold and add up the cost.To add up the items, use a calculator.The subtotal should look like this.

Step 6: The subtotal should include taxes and other charges.

On the left side of the receipt, list the tax or additional charges and on the right side, write their cost.Add the applicable fees and taxes to the subtotal to get the grand total.The grand total should be something like:SUBTOTAL.

Step 7: The payment method and the customer's name should be written down.

Cash, check, or credit card could be used for the payment.The customer's full name should be written on the last line of the receipt.They should sign the bottom of the receipt if they paid by credit card.Make a copy of the receipt and give it to the customer.

Step 8: You can download a receipt template.

It might be easier to write the receipt on the computer if you are giving someone a receipt online.You can find receipt templates online and download one that works for you.Then, use a word processor to fill in all the fields and send the receipt to the customer.You should include the date of sale in your receipt.Only sites that look legit can be used to download templates.

Step 9: Software can be used to create receipts.

Download the one that best suits your needs after comparing paid and free receipt generating software.Go to the settings tab and fill in your company name and information.It is just a matter of filling in the fields.The program will create a professional-looking receipt for you to give to the customer, and will log the receipt in its database so you can refer to it later.Certify and Shoeboxed are popular receipt programs.You can put your company logo on the customer copy of the receipt.

Step 10: Highly accurate receipt management can be achieved with a POS system.

A POS, or Point of Sale system, is a system that helps you track business expenses, sales, receipts, and can process payments like checks and credit cards.The system will generate a receipt for the customer at the point of sale and log the sale in your database.Pick a POS system that fits your needs.You can get automatic receipts when you make a sale if you download the system onto your computer.Square Up is one of the popular POS systems.There are many POS systems that can be downloaded.
